Position Overview:

The Executive Secretary will provide high-level administrative support to senior executives, ensuring efficient operation and coordination within the executive office. The ideal candidate will possess excellent organizational and communication skills, with a keen attention to detail and the ability to handle multiple tasks efficiently.


  • Administrative Support: Provide comprehensive administrative assistance to senior executives, including managing schedules, appointments, and travel arrangements.
  • Communication Management: Handle incoming and outgoing communications, including emails, phone calls, and written correspondence. Prepare and edit reports, presentations, and other documents.
  • Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Document Management: Maintain an organized filing system for both paper and electronic documents, ensuring confidentiality and security of sensitive information.
  • Project Assistance: Assist in the coordination and execution of special projects and events as assigned by senior executives.
  • Liaison Role: Act as a point of contact between executives and internal/external stakeholders, ensuring smooth communication and collaboration.
  • Office Management: Oversee office operations, including ordering supplies, managing office equipment, and ensuring a clean and functional work environment.
  • Problem Solving: Address and resolve administrative issues promptly and efficiently, ensuring minimal disruption to executive activities.
  • Travel Arrangements: Coordinate complex travel itineraries, including flights, accommodations, and transportation for senior executives.


  • Experience: 2-5 years of experience as an Executive Secretary or in a similar administrative role.
  • Education: Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • High level of professionalism and confidentiality.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Language: Fluency in English; additional languages are a plus.
